Overview

The Secretary to CEO – Business Management at OXYGEN Group APAC is a dynamic, hybrid role that combines high-level administrative support with strategic, creative, and branding contributions. This role is designed for a multi-talented individual who can manage confidential communications, coordinate executive schedules, and also contribute to the CEO’s branding, internal communications, project research, and creative initiatives.

This position is ideal for someone with strong organizational ability, creative sensitivity, and business acumen — someone who can move seamlessly between logistics, planning, storytelling, and idea execution.

Key Responsibilities

Business Development & Growth Acquisition

  • Identify and pursue new client opportunities across industries, categories, and markets.
  • Build and maintain relationships with decision-makers, partners, and influencers.
  • Lead new business proposals, pitch presentations, and commercial negotiations.
  • Collaborate with Creative and Strategy teams to shape compelling value propositions.

Operations & Workflow Management

  • Oversee day-to-day business operations, project performance, and team workflow across functions.
  • Implement scalable systems, tools, and SOPs to improve agency efficiency and profitability.
  • Monitor workload, resource allocation, and team performance to ensure client deliverables are met with quality and speed.
  • Identify bottlenecks, inefficiencies, and implement proactive solutions.

Revenue Management & Forecasting

  • Drive revenue growth through client expansion, retention, and cross-sell opportunities.
  • Monitor financial KPIs, project profitability, and forecast revenue projections.
  • Work closely with finance and department heads to manage cost, pricing, and reporting.

Client Relationship Leadership

  • Act as a senior-level contact for key clients, ensuring trust, continuity, and strategic value.
  • Guide client satisfaction, feedback, and renewal/upsell cycles.
  • Step in to manage high-stakes conversations, troubleshooting, or transformation initiatives.

Internal Team Collaboration & Culture

  • Collaborate with department leads to ensure cohesive team operations and alignment.
  • Champion a performance-driven, client-first, and solution-oriented culture.
  • Support talent retention, development, and professional maturity of team members.

Qualifications & Experience

  • 7+ years of experience in business development, operations, or senior account leadership roles (preferably in agency, consulting, or creative industry).
  • Proven track record of winning business and building profitable accounts.
  • Strong leadership, negotiation, and commercial thinking.
  • Familiar with operational workflows, team management, and resource planning.
  • Excellent interpersonal, communication, and presentation skills.

1. New Business Development

  • Number of new clients/projects acquired quarterly
  • Conversion rate from lead to deal closure
  • Value and profitability of new business secured

2. Operational Excellence

  • Timely delivery of client work and project milestones
